Scheduling steps and requirements for College of Music recitals/events

  1. Read the table above to ensure you have met the necessary academic requirements prior to scheduling a recital.
  2. Check 25 Live to see if the date is available. For instructions on how to use 25 Live, please click here. (Note: it is possible that available dates may be already reserved but not confirmed in the system.) Room availability can be found in “View the Scheduling Grid” in the upper left-hand corner. Please note that 25 Live is for checking availability only. Requests submitted through 25 Live will not be approved. Requests must be submitted through Step 2 below.
  3. Request your event HERE. Failure to complete this step will result in your preferred dates not being requested. Reservation requests will be granted based on availability and the priorities of the desired space. The system will route the request to all the necessary approvers. You will be contacted once all approvals are completed.
  4. Pay the $45 recital fee at tiny.utk.edu/musicshop.
  5. Schedule your hearing. The hearing should be held no less than 2 weeks prior to the recital.  You may reserve one hour of time for a junior recital and two hours for a senior or graduate recital. Complete the pre-recital hearing form here. Print this form and bring it to your hearing.
  6. Submit your recital program. Program content is due no later than 2 weeks prior to the recital and after passing your hearing. Complete the Recital Program Information Form following the instructions found on the form.
  7. Email the Stage Set-Up Requirements form to Chris Jerger (101E NHMC, [email protected]) no later than 2 weeks prior to the recital.

To request an accompanist, fill out the Accompanist Request Form.

Cancelling a Recital

Cancellation of a recital is permitted ONLY for serious reasons and ONLY with the support and final approval of your major professor.

To cancel a recital, the supervising faculty member must contact Chris Jerger and Alissa Galyon. Recitals should be cancelled as soon as possible so notification can be sent to the public. The recital fee is non-refundable unless the student fails the hearing or the College of Music approves the cancelation/postponement for emergency reasons.

Reserving a room for One-Time or Weekly Use

  1. To schedule a room for a one-time or weekly event for a COM meeting or rehearsal, check 25 Live to see if the date is available. For instructions on how to use 25 Live, please click here. (Note: it is possible that available dates may be already reserved but not confirmed in the system.) Room availability can be found in View the Scheduling Grid in the upper left-hand corner. Please note that 25 Live is for checking availability only. Requests submitted through 25 Live will not be approved. Requests must be submitted through Step 2 below.
  2. Request your event HERE. Failure to complete this step will result in your preferred dates not being requested. Reservation requests will be granted based on availability and the priorities of the desired space. The system will route the request to all the necessary approvers. You will be contacted once all approvals are completed.
  3. If keys are needed for the event, students, faculty, and/or staff should stop by the front desk in the music office to check out a key. The keys are on a first come first serve basis, and they are to be signed out with name, net ID, and the key needed. Keys must be checked out before 4:30 pm Monday through Friday. Keys will not be available on the weekend, so plan ahead. Keys must be returned to the front desk or the black key box located outside of the music office by 9 am the next business day. If multiple keys are needed for an event, please coordinate that with the front desk prior to the event.
